Security & law

Legally sound and tamper-proof

ZeugnisPilot's digital signature meets the requirements for simple electronic signatures (SES) under Swiss ZertES and EU eIDAS — sufficient for reference letters, which have no formal-form requirement.

Art. 330a CO compliant

Swiss Code of Obligations does not require written form per Art. 13 CO for reference letters. An electronic signature with identity binding is legally valid.

HMAC-signed magic-links

Every signature link is an HMAC-signed token with expiry. Tampering or reuse is technically excluded — derived from JWT best practices.

SHA-256 fingerprint in PDF

The final PDF content is hashed and stored with issuer, timestamp and workflow ID in Firestore. Subsequent tampering is detected immediately on QR scan.

Swiss hosting

Backend, database and verification service run in Google Cloud region Zurich (europe-west6). Signature data does not leave Switzerland.

Note on signature type: For most HR use cases (incl. reference letters, internship and apprenticeship references) a simple electronic signature (SES) is sufficient. For contracts with statutory written-form requirement (e.g. consumer credit, certain employment contracts) a qualified electronic signature (QES) would be needed — this is on our roadmap, but not yet available. FAQ

Frequently asked questions about digital signing

Is a digital signature legally valid for reference letters?
Yes. The Swiss Code of Obligations (Art. 330a CO) does not require qualified written form for reference letters. A simple electronic signature (SES) with identity binding is legally valid — and accepted in practice. EU eIDAS likewise accepts SES for documents without statutory form.
How do signatories receive the document?
They receive an email with a secure magic-link. One click opens the reference in the browser, lets them review and sign directly. No login, no registration, no app required.
What if the manager does not open the link?
You see in the workflow dashboard which signatory is still pending. A reminder email can be re-sent with one click. With multiple signatories the process runs in parallel — no one waits for the other.
Can we sign on a smartphone?
Yes. The signature pad supports touch and pen input natively. On iPad with Apple Pencil or Surface with stylus the signature is virtually identical to a handwritten one. Alternatively you can upload a photo of your signature.
How is the signed PDF protected against manipulation?
We compute a SHA-256 fingerprint of the final PDF content and store it together with issuer, timestamp and workflow ID. The PDF carries a QR-code — anyone scanning it sees immediately whether the document is authentic.
What if an employee requests changes?
The workflow supports the status "changes requested". The employee can leave notes, you revise the draft, and the signature process restarts — without the old token remaining valid. Fully traceable in the audit trail.
Is the signed document filed in the personnel record automatically?
If you have a personnel-record integration configured (e.g. UKG HR Service Delivery), yes: the final PDF is filed in the employee's record using their personnel number. More providers are on the roadmap.
Does digital signing cost extra?
Nothing extra. The digital signature workflow is included in all plans from Pro upwards. No per-signature cost, no separate licence, no third-party account. More on our <a href="/pricing">Pricing page</a>.
